How do I bulk-upload retail stock from a spreadsheet, step by step?
- On Ordering > Retail > Retail Menu, either open a specific location (its date is already selected) or use the all-locations list and pick a Fulfillment date.
- Click Update Stock with AI, then Download a template pre-filled with this menu so the meal/portion IDs already match, or build your own CSV file with the columns location_id, fulfillment_date, meal_id, portion_size_id, quantity (extra columns are ignored, and location_id/fulfillment_date can be left blank to use the page's default).
- Choose the Deduct uploaded quantities as "Sold" toggle: On also writes a stock movement of −qty with reason Sold, lowering on-hand stock; Off only sets the dated menu quantity (Quantity Needed) and leaves on-hand stock untouched.
- Upload the file and click through to Review. Rows are grouped into Will apply, Warning (would take on-hand stock negative — it still applies, matching manual stock movements) and Blocked (bad location, meal, portion or quantity, or an unreadable date — these rows are skipped and listed with the reason).
- Click Apply to commit. You get a receipt showing menu quantities updated, stock movements created, rows skipped and an upload reference.
Sheets are capped at 2,000 rows; larger files must be split.
