Sprwt Dashboard: Meal Selection/Production

Welcome to Sprwt, you now have access to a dashboard that works with you to help you grow. 

"But what do all these numbers mean and what do I do?"

Sprwt is a real-time automated system that communicates what you need to do for a given date right on your dashboard. On the right-hand side, you'll see a calendar, with a circle on each pickup/delivery date, meaning a customer can place an order for that date. The selected date will have a blue circle, and the numbers on your dashboard will tell you exactly what orders have been placed for that date.



As customers check out, your dashboard will automatically refresh to reflect the information for all the orders placed to be received on the date in question. 

You'll see how many checkouts, or orders to deliver and orders to pickup you have
Next, you'll see how many meals to serve have been selected (from any of the meal ordering systems), and how many meals from the menu (purchased through A La Carte, Meal Pack, Subscriptions) are for delivery or for pickup
In the last row, the Meals to Serve are broken down to meals purchased from the Chef Menu, from the Custom Meal Builder ordering system, and from the By the pound ordering system
All of these cards link to their respective reports, and below the calendar, you have other quick links, which you can customize in Business Settings > Configuration > Dashboard.
Meals yet to choose are meals that a customer has paid for by virtue of a subscription, but have not selected yet. These meals are not yet on the reports, so they are not reflected in the Meals to serve, Meals for delivery, Meals for pickup, or Chef Menu. If you click on this card, you'll see clickable subscription id numbers, names, plans, and how many meals they should receive, how many are selected, and how many are missing.
Reports will redirect you to your Inventory Shopping List.

Additionally, any notifications regarding your system or customer credit card errors will appear on this dashboard.



Aside from the information display, your dashboard also has some important functions for you to control your store.

Meal Selection: Re-Open/Close Meal Selections
If meal selections for a given date are open (green circle on the calendar), customers are able to place new orders for that date, and/or select the meals they will receive for their subscription on that date.
Meal selections are automatically closed (yellow circle on the calendar) according to the cutoff date we have set up in your system. The date will no longer be available as an option for customers when they select the date they will receive orders on.
RE-OPEN: If meal selections have already been closed for a date, you can manually re-open the day to allow for late orders from all customers. The date will reappear on ordering pages. Note: this overrides the automatic system, so you'll have to close manually afterward.
CLOSE MEAL SELECTIONS: If meal selections are opened for a date, you can manually close the day to stop customers from ordering. At the moment you close, the date will disappear off ordering pages. Orders that have already been placed will remain on your reports, so if you just want to close early because you see the numbers are climbing too high to be able to fulfill (a good problem to have!), and you need more time for production, you can close the date. You can also close far in advance if you know you won't be available on a certain date.
Note: Each time a subscription renews, it will renew for the next day with open meal selections.
If you close meal selections before your subscriptions renew for that date, those subscriptions will renew as normal, but the dates that are added to their subscription billing period will start on the next open date.
Subscription Selections: Auto Choose Meals/Day Not Closed
Once meal selections on a date are closed, you will be able to AUTO CHOOSE MEALS for all the customers who have yet to do so on a subscription, based on the subscription they've purchased, the meals on the menu, and preferences listed on the customer's profile. Items with surcharges will be excluded.
For each instance of a customer for which this will not be possible, due to credit card issues or diet limitations that eliminate all items on the menu, will result in an error message.
Once you do so, the meals will be chosen and placed on reports, and you'll see the numbers for Meals yet to choose, Meals to Serve, and Chef Menu change accordingly.
Note: make sure to auto choose meals before downloading reports, or missing meals will not appear on them.




Refresh: Finish Production/Day Not Closed
Once meal selections on a date are closed, you can click FINISH PRODUCTION to visually represent to yourself that the day is finished (red circle on the calendar) and refresh your system to the next unfinished delivery date.
